DSYBS CONFLICT OF INTEREST POLICY
BACKGROUND
Dover Sherborn Youth Baseball & Softball (DSYBS) is a non-profit community organization that functions primarily through the efforts of volunteers. DSYBS is fortunate to attract the support of a diverse volunteer base including parents and non-parents. Historically DSYBS has encouraged and benefited from involvement of volunteers with different backgrounds, ages, and experience levels.
OBJECTIVE
To best attempt to ensure the fairness, integrity and ongoing success of our program, DSYBS will take responsibility and reasonable measures to identify, disclose, document, understand and manage conflicts of interest among all volunteers including coaches and board members.
POLICY
On an annual basis, all DSYBS volunteers engaged in outside commercial activity related to youth baseball or softball shall describe and declare their outside activities. The mechanism for declaring outside commercial interests is the “DSYBS Volunteer Conflict Disclosure Form” available on the DSYBS website. The disclosure form shall include the following information:
Identification of current volunteer capacity of capacities with DSYBS
Description & dates of outside activity
Categorization of level of outside commercial interest (e.g. $>500 per year)
Volunteer attestation to terms and spirit of DSYBS Conflict of Interest Policy
Conflicts of interest that are required to be disclosed are not limited to outside baseball or softball programs. Any outside commercial interests related to involvement with DSYBS vendors, suppliers, or other service providers (e.g. equipment supply, field maintenance, paid legal advice) shall be disclosed. For the purpose of this policy, family participation as a player or volunteer, or support of outside baseball or softball programs without compensation will not be considered a conflict of interest.
All outside involvement of volunteers shall be reviewed by the DSYBS Board of Directors or a committee designated by the DSYBS Board. Review of outside activity and potential conflicts of interest will be conducted for the purpose of establishing:
Materiality of outside interest
Degree of risk to DSYB program for actual or perceived conflicts of interest
Potential ineligibility of any conflicted individual from any specific DSYBS roles or vendor relationships
Other specific guidelines shall be followed:
The DSYBS Board of Directors President, Vice President(s), and Treasurer should not have any material outside commercial interests in non-DSYBS baseball or softball programs.
Individuals with material commercial interests in non-DSYBS amateur teams shall not be involved in the evaluation of or selection for stratified Summer baseball teams
League Directors and Summer league coaches shall not have material outside commercial interest in non-DSYBS baseball or softball programs.
The board reserves the right to exclude individuals from volunteer activities based on conflict of interest. To maintain eligibility as a DSYBS volunteer, DSYBS expects individuals with outside interests to adhere to the following rules and best practices:
DSYBS rosters or participant contact info attained through DSYBS sources and activities shall not be used to contact or solicit participants about non-DSYBS activities without permission of the board.
The DSYBS name and logo shall not be used in connection with marketing activities of non-DSYBS programs without permission of the board.
Pictures or descriptions of DSYBS participants in DSYBS uniform shall not be used for marketing of non-DSYBS programs.
In general, DSYBS expects individuals with outside conflicts to make all reasonable efforts to maintain both the actual and perceived separation of DSYBS and non-DSYBS programs.
Concerns about adherence to this policy and other actual or perceived conflicts of interests shall be brought to the attention of the DSYBS President or Vice President(s).
